Abstract

Bali is one of the provinces in Indonesia with world-class tourism, proven by one of the major events held in Bali this year, called the 7th GPDRR Conference. Travel agency also takes part in this big event. One of them was PT Melali Bali DMC which was chosen to design a side event in the form of a field trip on the 7th GPDRR, especially in Program 2. There are several obstacles or problems, for instance: the distance of several hotels is far from the meeting point, the event initiator's hesitation in making decisions, and errors in the back office system. The expected use of this final project is to provide suggestions and input to improve client service. The analytical technique used in this research is a descriptive analysis technique, based on the author's experience during an internship at PT Melali Bali DMC and the data and information obtained when handling the event. Then, the data presentation technique used in this research blends formal and informal data presenting methodologies. This field trip program was provided free of charge by the initiator for GPDRR delegates. However, only 200 participants in each program could get the chance. Thus, the first 200 people who registered were those who had the opportunity to join this field trip program, especially in Program 2. As a travel agency that was trusted to handle this field trip program, PT Melali Bali DMC prepared and planned this event so well that it could hold according to the plan expected by the event initiator. Based on the results can be concluded that there are several steps to handling this field trip, as follows: pre-event or the preparation stage, on-site event or the day of the event, and post-event or when PT Melali Bali DMC team collecting the data for the event reports and making until reporting the event results. In addition, when handling the event there are some obstacles, but those obstacles or problems can be through by an effective and efficient solution. Several suggestions that the author can provide are can increase creativity and innovation to serve clients better, the IT professionals’ team of PT Melali Bali DMC must update and put the back office system on the cloud server before doing tasks to avoid potential problems or errors.
